Administrative & Events Assistant
Sparks Street BIA & Mall Authority


Sparks Street Business Improvement Area (BIA) & Mall Authority is seeking Administrative and Events Assistant to ensure smooth execution of day to day office operations and assist with special events.


Position Summary:

Reporting to the Executive Director and working in a small team, the Administrative and Events Assistant demonstrates outstanding organizational, analytical and communications skills with additional experience in administrative support and event coordination.


Position Type:

Full Time – Contract (14 Months – Maternity Leave)


$40,000.00 to $43,000.00

Responsibilities include:

  • Ensuring smooth execution of day to day office operations including: facilitation of Accounts Receivables and Payables, filing, scheduling, supply orders

  • Assisting in the planning, promotion and execution Sparks Streets special events and programs

  • Creation, curation, and monitoring of digital content (images, video and written) for web and social media

  • Composition of detailed agendas, reports and meeting minutes 

  • Ongoing development and understanding of the organizational requirements, target audiences, and strategic objectives of the Sparks Street BIA and Mall Authority

  • Reception duties

  • Other duties as required



  • Post Secondary degree/diploma and/or related experience in Business Administration, Public Relations, Marketing, Communications, Hospitality or related field

  • 2+years of proven experience in Administrative Coordination, Event Coordination, and/or Marketing

  •  Intermediate Knowledge of key marketing strategies event management, including digital, brand and promotions

  • Knowledge of best practices in non-profits and event management fields

  • Willingness to learn, take direction and be adaptable in a constantly changing environment

  • Availability to work some evenings and weekends

  • Ability to work under pressure with rigid timelines

  •  Outstanding verbal and written communications skills

  • Excellent organizational skills and attention to detail

  •  Intermediate+ proficiency in MS Word, PowerPoint, Excel and Outlook

  •  Language: Bilingual required, English and French
